Diagnostic Step 1: Identify What Bills Are Being Rejected

Before cleaning or replacing anything, narrow down the problem:

Is the acceptor rejecting all bills? The problem is likely a sensor, mechanical, or power issue.

Is it rejecting specific denominations? The firmware may not recognize that denomination’s series. Check when the firmware was last updated.

Is it rejecting bills that are limp, wrinkled, or worn? This may be a sensitivity calibration issue rather than a full failure.

Is the bill entering the acceptor then being spit back? Sensors may be partially functional — enough to transport the bill but not validate it.

Is the bill not entering at all? Transport mechanism issue, or the sensors detect something wrong at the entry point before transport.


Step 2: Clean the Bill Acceptor

Cleaning resolves the majority of bill acceptance problems. Sensor contamination from bill residue (dust, ink, lint) accumulates over time and degrades reading accuracy.

Cleaning Method 1: Cleaning Cards

Most bill acceptor manufacturers sell or recommend IPA (isopropyl alcohol) pre-moistened cleaning cards. These are the same size as a dollar bill and are designed to run through the transport mechanism, cleaning sensors and rollers simultaneously.

Process:

  1. Power the machine on
  2. Insert the cleaning card into the bill acceptor as you would a bill
  3. The card travels through the transport and cleans the sensor heads
  4. Run 2–3 cleaning cards, or until the card comes out without visible dirt

This is the fastest and safest cleaning method. Cleaning cards cost about $0.50–$1.00 each and should be used monthly as preventive maintenance.

Cleaning Method 2: Manual Sensor Cleaning

For stubborn contamination, manual cleaning with isopropyl alcohol is more thorough:

  1. Power off the machine and disconnect power
  2. Open the bill acceptor by removing the head assembly (usually 2–4 screws)
  3. Identify the sensor windows — these are small glass or plastic windows on the sensor boards inside the transport path
  4. Gently wipe each sensor window with a cotton swab dampened with 90%+ IPA
  5. Wipe the rubber transport rollers with IPA to remove debris buildup
  6. Allow everything to dry fully before reassembling (1–2 minutes)
  7. Reassemble, reconnect power, and test

Do not use water, glass cleaner, or anything other than IPA on bill acceptor sensors. Water and cleaning agents leave residue that causes more problems.


Step 3: Test with Multiple Bill Types After Cleaning

After cleaning, test with:

  • A new, crisp $1 bill
  • A slightly worn $5 bill
  • A $10 bill
  • A $20 bill

If all denominations now work, cleaning was the fix. Log the date and add monthly cleaning to your maintenance schedule.

If specific denominations still fail, move to Step 4.


Step 4: Update the Firmware

Bill acceptors use firmware (software stored on an internal chip) that contains bill recognition patterns. New series of bills (the U.S. introduces new series every few years) require firmware updates.

How to check firmware version:

  • Enter the machine’s service/diagnostic mode
  • Look for a “validator firmware” or “bill acceptor version” screen
  • Note the version number

How to update: Contact the bill acceptor manufacturer (ICT, Pyramid, JCM, MEI/CPI, Mars, Coinco) with your acceptor model and current firmware version. They’ll tell you if an update is available and provide the update file.

Transport Jam / Bill Won’t Feed

Symptoms: Bills partially enter then stop, or the validator makes a grinding sound.

  • Foreign object in the transport path — power off, open the acceptor, remove the object
  • Worn transport rollers — if rollers are smooth (no grip), replace them. Roller kits are available for common acceptor models

FAQ: Vending Machine Bill Acceptors

Why does my validator keep rejecting new $20 bills? This is almost always a firmware issue. New series $20 bills (2017 series, for example) may not be recognized by older firmware. Update the firmware and test with the new bill series.
