Types of Cashless Reader Errors
“Offline” or “No Connection” Displayed
The reader has power and is functioning internally, but can’t communicate with the payment processing network (cellular or Wi-Fi). Transactions can’t be authorized.
MDB Communication Error
The reader is connected to the network but can’t communicate with the vending machine’s control board via MDB. The reader may process payments but can’t signal the machine to vend.
“Not in Service” Displayed to Customer
The reader may show this when MDB communication has failed, when it’s in an error state, or when payment processing isn’t available.
Reader Has No Power / Not Responding
No indicator lights, no display. The reader isn’t receiving power or has a hardware failure.
Partial Function (Reader Takes Payment But Machine Doesn’t Vend)
Specific to MDB communication failures where the payment goes through on the network but the signal to vend isn’t received by the machine.
Step 1: Determine Which Type of Error You Have
Before troubleshooting, determine what you’re actually dealing with:

Step 1: Check Cellular Signal at the Location
Cashless readers use cellular modems with multi-carrier SIM cards. Signal strength can vary significantly by location, and certain areas (basements, metal-walled rooms, elevator shafts) block cellular signals effectively.
Test: Use your own smartphone to test cellular data at the exact location of the machine. If your phone shows 1 bar or “No Service,” the machine’s reader will likely struggle with connectivity.
Fix for low cellular signal:
- Move the machine to a better-signal location if possible
- Contact your reader provider about an external antenna option (some readers support external antenna attachments that can be routed to a window or exterior location)
- Switch to Wi-Fi connectivity if the location provides accessible Wi-Fi
Step 2: Check Wi-Fi Configuration (if using Wi-Fi)
If your reader is configured for Wi-Fi rather than cellular:
- Verify the location’s Wi-Fi network is operating (test with your phone)
- Verify the reader’s Wi-Fi SSID and password settings match the location’s current Wi-Fi credentials

The MDB cable connects the reader to the machine’s control board.
- Power off the machine
- Locate the MDB cable going to your cashless reader

Step 3: Check MDB Termination
MDB is a two-wire bus with specific electrical characteristics. Some bus configurations require a termination resistor at the end of the bus to prevent signal reflection. If your machine uses a long MDB harness or has many devices on the bus, check whether a termination resistor is installed and functioning.
This is an advanced troubleshooting step — consult the reader manufacturer’s technical documentation for MDB termination requirements.
Step 4: Verify Machine MDB Compatibility
Some older vending machines have MDB controllers that don’t fully implement the MDB standard, causing communication issues with some cashless readers.
Check: Does your machine manufacturer document MDB compatibility? Some older machines need firmware updates to properly communicate with modern readers.
Diagnosing Power Issues
Reader Has No Power
If the reader has no indicator lights and no display:
- Check that the machine is powered on (main power, not just the reader circuit)
- Trace the reader’s power connection:
- Some readers draw power from the MDB bus (24V)
- Some readers have a separate power connection to the machine’s power supply
- Some readers use AC power from an internal outlet
- Test voltage at the reader’s power connection point with a multimeter
- If power is absent at the connection point, trace the issue upstream (check fuses, power supply board)

Reader Powers On Intermittently

Cantaloupe ePort Readers
Online status: Check SEED management platform for device status. A reader showing “Never Connected” has never successfully communicated; a reader showing “Offline” was previously online.
Light patterns: Cantaloupe readers have indicator lights. Consult the ePort status guide (available on Cantaloupe’s support site):
- Solid green: Connected and ready
- Flashing green: Attempting connection

PayRange
PayRange uses a Bluetooth connection rather than cellular. Troubleshooting is different:
- Customer’s phone must have Bluetooth enabled
- PayRange app must be current version

- Check BluKey’s LED status per PayRange documentation
After Fixing the Connectivity Issue
After resolving the connection issue:
- Run a test transaction with your own card or phone
- Verify the transaction appears in your management portal
- Verify the machine vended the product
- Check the next day that the reader is still showing online in the portal
If the issue recurs within a few days, investigate further — a fix that only lasts briefly suggests an underlying issue (intermittent power, intermittent cellular signal, or hardware degrading) rather than a one-time error.
When to Replace the Cashless Reader
Consider replacement when:
- Reader is confirmed functional (power, MDB communication) but the cellular modem has failed
- Reader hardware is physically damaged
- Reader firmware is too old to support updated payment standards (EMV, NFC) and can’t be updated
- Reader is more than 5–7 years old and experiencing recurring failures

FAQ: Cashless Reader Connection Errors
My reader shows online but transactions still fail. What’s wrong? This typically indicates an MDB communication issue. The reader is connected to the network (online) but can’t communicate with the machine to complete the vend cycle. Check MDB connections.
The reader was working yesterday and stopped today. What changed? Common sudden-change causes: (1) Cellular service disruption or network maintenance at the carrier; (2) Location changed Wi-Fi credentials; (3) Power surge/outage that corrupted reader state; (4) Account issue with reader provider. Check your portal first — it will usually show an error or offline timestamp that correlates to when the issue started.
Can I manually process a card transaction if my reader is offline? No. Offline mode on most readers means transactions can’t be processed at all (or only up to a small offline approval limit, typically $5). Advise customers that card payment is temporarily unavailable and ensure cash payment works.
My reader processes the payment but the machine doesn’t vend. Who do I contact? This is an MDB issue. The payment network completed the transaction (money was charged) but the vend signal didn’t reach the machine. The customer may have been charged without getting product — issue a refund immediately.
